Our Customer Experience Centers (CEC) are working showrooms; therefore, we do have situations where individuals are close in proximity to their coworkers. The goal is to limit close contact between people while maintaining a functional and collaborative work environment. Floorplans have been updated to reflect new meeting/conference guidelines, as well as changes with path of travel.

To keep ourselves and our loved ones healthy, we provided a section outlining new hygiene protocols that were required within each of our facilities, including our service centers and warehouses. As these guidelines evolve, we continue to update this document with the latest requirements. We understand staying healthy is shared responsibility. We expect every person to adhere to these guidelines and practice new habits that will contribute to germ control. Additionally, we welcome any ideas that can contribute to our health in the working environment. If you have an idea or concern, please share it with the Return to Workspace Committee. The Return to Workspace Committee will be responsible for communicating and coordinating changes as we continue to learn in this new environment.
Staying Healthy
Rtw - Employee Protocol
Our furniture was moved or removed to keep the 6-foot clearance.
The reception desk had a shield installed and signage posted for visitors.
Packages and mail are limited to a specific area.
Internal non-essential doors have been removed or held open during office hours, per building approved guidelines and security adherence.
LOBBIES & ENTRANCES
Path of travel and circulation signage has been placed to help mitigate several people in a specific hallway or stairwell at one time. We provided a floor plan diagram for clear direction.
Main paths, such as stairs and corridors, were marked with signs and floor graphics to indicate the direction.
We are conscious of stair traffic in particular, we wait our turns as to prevent close adjacency to other stair users.
We have provided instructional signage at elevators to maintain safe distances within the cab, if applicable.
Shared spaces, such as lobbies, break rooms, meeting rooms include graphics to indicate where to stand or sit to maintain the 6-foot clearance.
Path of Travel
All of our Meeting Rooms & Shared Spaces adhere to a 6-foot distance protocol limits capacity. We provided updated office seating plans and signs within the meeting spaces for these changes.
Chairs have been removed or noted with a decal to limit capacity.
We do not allow additional chairs into meeting rooms or rearrange chairs.
Shared spaces such as the library, copy and plotter areas, and pantry areas contain signage and floor graphics to limit the capacity in these areas.
We provide proper disinfectant and supplies in all rooms. We wipe down table surfaces, technology and hard surfaces upon exiting.
Meeting Rooms & Shared Spaces
Desk seating has been reviewed and some desk seating has changed. We provided an updated seating plan for more information to all employees.
Some desk configurations required additional measures, such as vertical panels, to further mitigate germ transmission.
Staggering staff has been a requirement for a period of time within certain locations. Our managers work with each location to determine days to come in to the office.

Our need to collaborate is an important part of our team dynamics and how we support our customers. We created the following social distancing practices and plan to show you how collaboration can happen while maintaining social distancing.

We encourage communication via a virtual meeting platform, if more detail is needed than can be shared via that meeting, consider the following two options:
Move to a meeting area to maintain the proper distance.
If the meeting is only verbal, consider a ‘walking meeting’. Step outside with the person and walk around maintaining the 6-foot distance.
The meeting planner, takes into consideration meeting in areas that can accommodate the people required while still maintaining a 6-foot distance.
We designate a person to coordinate wipe-down after the meeting.
TEam Meetings
The team lead schedule rooms or areas appropriately sized for the team's meeting. If the team size is too large, then remote meetings are encouraged. If there is a lack of space to accommodate larger meetings, we utilize more robust virtual meeting platforms.
Our reception or designated personnel are trained to sanitize mail and deliveries. There is a specific area designated for items waiting to go through this process and items that have already gone through this process.
DELIVERIES
We provide disposable cups, plates and silverware in kitchens and in break areas. We only allow pre-wrapped food and packaged drinks at this time.

WORKSPACE CLEANING
We follow all CDC and OSHA guidelines for handwashing. These are their guidelines:
Wash hands immediately upon entering the building.
Before and after eating and meeting.
At regular intervals throughout the day.
We implemented a clean-desk policy. Non-essential items are not stored on the desk, but rather enclosed in cabinets or drawers.
Each employee is provided cleaning products to disinfect their work surfaces, keyboard, mouse, phone, and chair arms every night before they leave.
Sanitization stations have been placed throughout the office; they consist of hand sanitizer and/or surface cleaners.
Meeting rooms are required to be wiped down after every meeting.
At the beginning of a meeting, we designate a person attending to wipe down the room after the meeting or coordinate the wipe down with the appropriate team member.
It is the responsibility of the designated person to let reception know when the meeting has ended.
If the meeting occurs before 8am or after 5pm, we designate a team member to wipe down the meeting room, as our reception team members are not present.
Individuals shall bring their own pens in.
Whiteboard markers are held at reception and wiped down after every use and we return board markers to reception after each use.
We keep our cell phones on us when not at our desks. If we lay it on a surface, we should clean it prior to using it.
SANITIZATION & HYGIENE PROCEDURES
Disposable gloves will be available for employee use at their discretion.
Gloves are mandatory when wiping down surfaces and cleaning disinfectants.
Gloves are to be worn when handling packages or supplies until they have been sanitized.
Proper removal and disposal of gloves is required. Wash hands after removal of gloves.
GLOVES
The use of masks is encouraged and is optional while in the office.
All employees are to bring a mask to the office every day.
Masks should be worn at jobsites and if social distancing is not provided at offsite meetings.
Masks are recommended for meeting with three (3) or more people.
All guests will be required to wear a mask during business hours.

Every employee/guest is required to have their temperature taken daily by a designated individual in the office. This individual keeps a list of who has had their temperature taken each day.
