Decide if you need to setup an eClosing system or if you can leverage your closing agents’ systems. Narrow down the list of eClosing systems, if you determine that you need to setup your own system.

When is it available?
Identify staff who support expense reimbursement (i.e. claims, RPAs, accounts receivable, access management and vendor management). Identify vendors (i.e., attorney firms, property preservation, billing agencies, etc.) that will access PAID on your behalf. Communicate onboarding resources with these individuals.

Get Set Up
Steps to take to ensure your organization is set up to assign user and vendor access as well as receive reimbursement payments.

Create a Freddie Mac Learning Account
Enroll in Access Manager
If you’re not yet set up on Access Manager, an authorized contact at your organization can begin the process by submitting the Get Started form. Access Manager is required for each Servicer to provide user access and profiles in PAID. To confirm if your organization is on Access Manager, contact our Customer Support Contact Center (800-FREDDIE).
Recommended to complete as soon as possible
A Freddie Mac representative will contact you within two business days to assist you in completing the Freddie Mac Access Manager Registration Form. This will allow you to complete the steps for setting up administrator roles and start managing user access to Freddie Mac tools.
Register for webinar
Create an account on Freddie Mac Learning with an associated Seller/Servicer number in order to register for training (if not already set up). Note: Vendors will have a separate login for each Servicer.

Form 1132 must be signed by an authorized employee on Form 988SF, Certificate of Incumbency. Use holographic signatures in DocuSign, wet signatures or photo of wet signatures. No typed signatures permitted. A current W-9 form is required (2018 or later).
Authorize Freddie Mac to initiate debits/credits by electronic transfer through the automated clearing house (ACH) to make payments for Seller/Servicer fees. ACH is required to get reimbursed for expenses submitted in PAID. If your organization is not set up, or if your organization is already set up, but changes are needed, follow the below steps. Complete Form 1132 ACH Authorization and email the completed form to cash collections. Please note: • • •

Identify Policies and Procedures
Identify your organization’s expense reimbursement policies and procedures related to the transition to PAID.

Review Vendor Contracts
Review vendor contracts to identify potential process changes.

Access the PAID Bulk Upload File Template and determine operational changes required to submit expense requests and/or automate your submission process (i.e., work with your technology providers as applicable).

Review and Align to Cutover Dates
8/1 by 5:00 p.m. ET: Last day for Reimbursement System users to log into the tool in order to be considered active and have access migrated to PAID. 8/30 by 5:00 p.m. ET: Last day to submit claims in Reimbursement System. 8/30 by 5:00 p.m. ET: Last day for Reimbursement System Administrators to respond to Freddie Mac outreach regarding the verification of active users for migration to PAID. 9/1 by 5:00 p.m. ET: Last day to submit supporting documentation in Reimbursement System for remaining items in queue. 9/10 by 5:00 p.m. ET: Last day to submit RPAs in Reimbursement System. 9/27: Deadline for emergency RPA submissions only. These one-time requests must be emailed to the NPL mailbox between 9/10 and 9/27 to receive written approval from Freddie Mac. 11/30 by 5:00 p.m. ET: Last day with read-only access in Reimbursement System.

PREP FOR PAID...IT IS ALMOST HERE!

Steps to take to ensure you can start using PAID and eBill.
Log into eBill** to validate access and ensure you can view the "PAID01" business line for each applicable Servicer number. Contact your Access Manager administrator if you do not have access.
Note: Master Servicers will not have access to eBill if they have a sub-servicer that submits claims in PAID on their behalf. In these cases, only the sub-servicer will have access to eBill to reconcile the ACH transaction.

Manage Access to PAID
Administrators should log into Access Manager and set up new users (including vendors), and any additional administrators. View the job aid for assistance. Important notes: Any Reimbursement System users added after 8/1 must be added as new users in PAID. Additionally, if we did not receive a confirmation from your organization to migrate active Reimbursement System users by August 30, you must set up all users following the standard process in Access Manager. This confirmation process was an email communication to Reimbursement System administrators.

Vendors: Confirm you have a user account for each Servicer you partner with. Contact the Servicer if you have issues with access.
Log Into PAID
Log into PAID and validate access. Contact your Access Manager administrator if you don’t have access.
Log Into eBill
Log into eBill to validate access and ensure you can view the "PAID01" business line for each applicable Servicer number. Contact your Access Manager administrator if you do not have access.
