What I want you to take away from this is the view that data is an essential foundation for resilience and growth in your business. The cloud lets you access accurate data securely anytime from anywhere, and that data helps you make better business decisions and identify new business opportunities. Business, operations, product management – whatever your role, everything improves with insights from data. I’d say that taking a structured approach to your cloud data strategy can help you unlock the insights within your data, not just for commercial gain but for more people-oriented outcomes like sustainability and company culture. If this all seems like a huge undertaking, there are partners like Insight who can help you at every stage – even if you have already embarked on your data transformation journey because, as I mentioned earlier, there might be potential value in data that you don’t realise yet.
There is strong evidence that ML and AI are becoming an accepted part of the business environment. Research by IDC told us that 85% of EMEA organisations’ cloud migration strategy includes data innovation through AI, ML or analytics objectives. Data is the foundation for AI, although even in 2022 people still see AI as something from the future. As users, we have come to accept cloud computing as we sync apps and data between smartphones, tablets and other devices. But AI seems a bit further away. Maybe it’s because AI is used behind the scenes for analysis. The truth is AI is all around us. Amazon’s Alexa or Apple’s Siri learn from our instructions and perform data analysis on our interactions – the data – without any human input. AI makes decisions and predictions based on the patterns it observes in data. It can solve problems without any human intervention before we’re even aware of them. AI can spot and solve likely overloads on a comms network, or potential machine failure at a manufacturing plant. It can also see patterns in purchasing decisions that someone with a certain profile is likely to make. It’s all based on data, and the best way to store and process data in the volumes we’re talking about it is in the cloud. In the cloud, the data used by AI is always available and accessible. The cloud provides the compute power necessary to perform complex algorithms and draw data from many data sets at the same time. To illustrate this, Insight helped a company transform its customer profiling algorithm from a 26–28-hour process to just 2-3 hours by moving the data platform to Azure. This meant it could perform more modelling and explore more potential scenarios, getting to key information quicker and making decisions with a stronger likelihood of an accurate outcome.
AI is all around us
So, let’s say you are a data-driven business. What advantages does this give you? Data increases your resilience. It helps you spot trends and changes in your markets so you can respond faster than your competitors. You can improve customer satisfaction through the behavioural information that sales and marketing data gives you. Plus, you can use data to drive operational decisions such as when to service or replace machinery in the most cost-effective way. Many decisions like these can be taken by AI or machine learning (ML).
Advantages
There’s also information in your organisation that you probably don’t count as data right now. Maybe you want to strengthen your environmental, social and corporate governance. This involves data about your office space, recycling, travel policies, etc. This might not fit in any databases that your IT team maintains, yet it fuels decisions about how to act more sustainably as a business.
Non-operational data
As more organisations look to be data-driven, they create strategies to collect, store, manage, share, use and automate their data using cloud or hybrid technologies. The cloud has really opened up the notion of a centralised, single source of trusted data that is clean and processed to remove duplication. The limitations of pre-cloud technologies tended to trap data in those dreaded silos. Removing data silos and bringing disparate sources together into a centralised system is the first and often the biggest challenge that data transformation or data modernisation projects must tackle. Using the cloud to host data is about more than simply moving platforms to provide more access, increase speed or save money. It involves structure, planning, change management, and strong data governance alongside technology. The thing to avoid is an ad hoc cloud migration. That’s why it is important to look at data objectives in a holistic way and ask, ‘what does this do for the whole business?’. Within every organisation there’s an enormous amount of operational data generated, from sales, production, finance, HR, etc. I would say that most of what is being collected isn’t being used properly… yet! That’s going to change as more and more people become aware of the value of data to provide answers and prompt other questions to ask.

The problem is that information in data silos isn’t sharable, so how do you unlock its value to the business unless you can put it all together and use it? The future of working appears to be hybrid. A recent survey for the Chartered Institute of Management (CMI) revealed that 80% of firms have adopted a hybrid working models since the COVID-19 pandemic outbreak – and suggests this model is here to stay (BBC)...
This is similar to purchasing the PSTN/ISDN lines of old, except that it allows you to connect to your new Microsoft Phone System without needing a physical line installed into your business. With a little configuration, this handles the majority of simple telephony requirements for small businesses. But in the world of Telephony, where you may have multiple offices in multiple countries and may even need features like Call Recording, Contact Centre / Call Centre specific functionality, there are many things to consider when designing a cost efficient and flexible Telephony infrastructure that supports the hybrid working challenges of today. While Microsoft Teams does not natively include a Contact Centre solution, many well-known vendors out there can facilitate this requirement. You can often purchase your phone numbers, dialling plans and additional requirements like Contact Centre and Call recording for a simple monthly fee, allowing you to know exactly what your costs are going to be with little to no CapEx expenditure. Another noteworthy innovation in this field is Operator Connect, a new service provided by Microsoft and some Telephony Vendors. This service allows you to quickly and easily provision new Telephony requirements (numbers, locations, services) with a few clicks of a button from within your Microsoft 365 tenant, after you’ve signed an agreement with a provider and it has been set up. This gives maximum flexibility and simplicity for organisations.
This is similar to purchasing the PSTN/ISDN lines of old, except that it allows you to connect to your new Microsoft Phone System without needing a physical line installed into your business. With a little configuration, this handles the majority of simple telephony requirements for small businesses.

This also has a direct impact on the retention and attraction of talent in organisations, as companies are often expected to use more modern business process’ and infrastructure practices to enable good end user experiences, as well as work in a more sustainable way. Microsoft Teams has arguably been one of the most successful platforms during the pandemic, and is a strong tool for individual, group and company communication and collaboration. Microsoft’s Phone System, the cloud PBX product, is enabled with a licensing uplift in your Microsoft 365 tenant (audio calls and the Phone System are only available with an E5 license). It’s incredibly easy to get started with and means that your Microsoft Teams app on your desktop/mobile becomes your phone handset/headset for incoming voice calls.
Ultimately, as we move forward, integration with business processes and return on investment is key to leveraging these solutions and platforms as well as supporting new ways of working...
During the change to remote or hybrid working resulting from the COVID-19 pandemic, many organisations hastily adopted remote working solutions like Teams, Zoom and Webex. According to a study from TrustRadius, the first two months of the Covid-19 pandemic saw the web and video conferencing market increase by 500% (TrustRadius 2021)...
Often these solutions were not implemented with the same level of due diligence and security integration mindset as others in a company's existing application stack, due to the sheer speed at which the solutions needed to be integrated. This usually meant that employees felt they had “yet another” application to open, and the solution was not used to its full potential. This mindset extended to the adoption and use of Telephony solutions. Many organisations with legacy phone systems had to send employees home with handsets, manually updating the phone systems’ permitted IP (Intellectual Property) ranges to enable employee phones to operate over the VPN (Virtual Private Network).
There are many things to consider with a changing workforce dynamic, from getting the best return on investment and office space, to making sure employees can collaborate effectively and still maintain important business processes. Communication is essential to any business, but especially with the current hybrid working shift, businesses need to take a close look at the services and support available to ensure seamless communication – whether in the office or in remote working set-ups. Telephony plays a key part in upholding a company’s communication, yet the requirements around this have changed recently.
We are now well into 2022, and companies are adjusting to the new working balance and all the challenges that are coming with it. In a recent study from Deloitte, 79% of business leaders surveyed suggested that they did not want to return to old pre-pandemic working patterns, but take away and implement key learnings gained from hybrid/remote working during the pandemic (Deloitte). So, hybrid working set-ups are a much-discussed topic right now.

There are no real alternatives to this, beyond hoping your users classify their data correctly! Regardless of your organisations size, industry, or location; the changing workplace is confronting us all with the challenge to protect one’s business from risk of security threats, and to overcome governance and compliance challenges. At a time where investing in the right technology could set you up for success and establish a true modern workplace for your organisation, many are seeing the benefit of moving to a tightly integrated suite of security controls such as Microsoft’s E5.
Alternatives:
Under-classifying a document means it will not be protected as well as it should be. Over-classifying files is also a problem as it results in a security policy being applied that is too stringent, leading to user frustration and additional costs. Helping users to classify their data correctly is especially important where the workforce is dispersed across home offices and may not have local IT support at their location to help them.
Benefit to you:
Included in the E5 license, Information Protection P2 provides the ability to assist users to classify their data more effectively. Classifying data (for example as “Public” or “Sensitive”) can help to ensure the right controls are applied to that data. E5 provides more automated features, for example helping users by recommending the right classification – guiding them to follow your corporate policies. You can warn users if they are about to overshare information via email, and you can scan your on-prem files and classify them automatically.

While you can provide this with a third-party product, you will lose out on the tight integration, reporting and ease of use of a best-in-suite approach.
Now your users are working on their devices on home networks and from hotels, they are no longer protected by your corporate firewall. This means they must have a much stronger set of security controls to prevent the devices from being breached and used to gain access to your organisations network. You need to be able to identify, detect and remediate threats effecting your endpoints in real time, wherever they might be in the world.
This builds on the basic ‘defender for endpoint’ functionality to provide full endpoint detection and response, automated investigation, and remediation, as well as threat and vulnerability management. It is also part of the E5 solution.

Now your users are working on their devices on home networks and from hotels, they are no longer protected by your corporate firewall.
Part of the Microsoft E5 license, this plan combines a number of features to strengthen your controls on who can access what – or “identity”. Access reviews reduce the IT overhead of managing who can access documents across the organisation by moving the burden of maintaining access lists from IT to the data owners in the business. Identity Protection, Privileged Identity Management and Risk based Conditional Access provide additional layers of security to ensure that administrators are connecting securely and from approved locations and devices and at the time of day you expect.

You could achieve this with other vendors by adding a number of different tools, but and it would not provide the simple ease of use, integration, and management benefits of E5.
Identity is a key pillar of a Zero Trust approach and is the glue which connects remote users to cloud data in a modern workplace.
You could add a Cloud Access Security Broker (CASB) from another vendor, but you would not benefit from the out-of-the-box integrations with other services such as Microsoft Information Protection and Data Loss Prevention. This may end up in a higher total cost of ownership, with lots of professional services needed to integrate and maintain.
Today, almost all organisations are using sanctioned cloud applications, and users will find their own cloud applications to get their work done. Some of those cloud applications might open up your organisation to risk of data theft, or storing data in geographies which are not compliant with GDPR etc. Microsoft Defender for Cloud Apps helps you stay compliant and secure, guiding your users to applications you know to be fit-for-purpose.
Previously known as Cloud App Security, this solution/asset gives visibility into the cloud services that users are leveraging and allows you to exercise control in a granular way. You can set the parameters of what users are allowed to do within the cloud services. For example, if you discover that the bid team is sharing documents using a non-sanctioned cloud application which you deem is risky, you will want to prevent them from uploading information, while still allowing them to download information from customer and partners.

The hybrid working model means data that is critical to your organisation is no longer stored in your datacentre – its distributed across multiple cloud services. These endpoints – the laptops your users work on all day at home, the servers in the cloud keeping your e-commerce platform running – are a constant target of phishing attacks, malware, ransomware, etc. The risks of such a security breach and the associated bad publicity, reputational damage and potential fines are too high a risk to take, so organisations need to ensure they have a strong set of controls in place. Beyond establishing a zero trust approach for your business, organisations can look at investing in a multiple point solution to protect their data, network, applications, and cloud. However, this can be expensive and leave blind spot in your visibility. The latest Microsoft 365 E5 provides enhanced tools to support organisations meet the rising security threats – but is this the right solution for you? To aid you in identifying how you can best protect and secure your organisation (and what technology can support this), I have outlined the key points you should consider when securing your workplace.
